We are looking for an Administrative Assistant to support our Quality Department in Charlotte, NC! The Administrative Assistant is responsible for providing proactive support to the Quality Department and the Services that fall thereunder. Our department’s goal is to deliver quality services to our clients, and this role supports the program through application processing, research and reporting, and general administration for the division.

Experience and Expertise

  • Bachelor’s degree preferred
  • Previous experience in Administration or relevant department

Your Responsibilities

Application Processing

  • Acting as the subject matter expert in application processing for Clinical Laboratories, using advanced research techniques to identify state individual requirements for credentialing and licensure
  • Conducting application processing in a timely manner and without error
  • Conversing with clients in a professional manner with clarity & step-by-step instructions, anticipating the needs or future questions during conversations (written or verbal)
  • Conducting research to provide support for targeted Services offered
  • Preparing reports and correspondence as needed, ensuring information is accurate and clear
  • Developing tools and solutions for recurring client requests
  • Maintaining website state licensure pages and keeping contacts up-to-date

Quality Administration

  • Systemic SOP and form updates/roll outs
  • MediaLab management/builds
  • Project Management spreadsheet updates
  • Binder printing (Validations, MSDS, Package Inserts, Personnel, etc.)
  • Performing Laboratory Information System verifications
  • Performing initial Quality calls, e-mails, and training
  • Preparing proficiency testing renewal forms, payments, data entry, and submission instructions

General Administration

  • Providing responsive and proactive customer service and office administration by answering phone calls, emails, filing paperwork, and keeping project trackers current.
  • Preparing documentation of processes and policies for future training purposes.
  • Suggesting process improvements to help create efficiencies.
  • Providing general administrative support to all members of the Quality Department team including but not limited to:
    • Creating, formatting, proofreading and editing the documents
    • Photocopying, binding, scanning, mailing and filing
    • Organize and coordinate meetings and events
    • Booking travel and accommodations
    • Other assignments from the management

Compensation and Benefits

  • $14 – 16/hr
